Privacy Policy

use MY data is registered as a company limited by guarantee in England and Wales (14425977) 

use MY data does not hold any patient data 

The Secretariat of use MY data holds two sets of personal data, for: 

1) use MY data’s Members and Associate Members – the Membership 

2) delegates who attend use MY data’s external events. 

 

Membership 

The Secretariat processes data in the legitimate interests of the Membership 

In order to liaise with/consult the Membership about patient data matters, the Secretariat retains the names and email addresses of Members and Associate Members. No other personal information is sought. 

We only use personal data if it is in our Membership’s legitimate interests. 

We use data in ways that are necessary to run use MY data. 

We use the minimum amount of data that we need to. 

We do not share our Membership's details. 

We protect personal data about our Membership in communications 

Bulk communications to the Membership are via MailChimp, which protects individual’s contact details. 

All of use MY data emails are held on a managed server in the UK, run by the IONOS hosting agency. 

Retaining / deleting data 

We only keep personal data that is necessary for our work with the current Membership. 

The Head of Programmes & Engagement keeps the Membership database on their computer. All Secretariat computers are encrypted and password protected. All have up-to-date software to protect them from malware and viruses. No information is stored on paper. 

When a Member or Associate Member leaves use MY data, we delete their details. At any time, Members or Associate Members can request that their Membership is cancelled. This is via emailing any member of the Secretariat or contact@usemydata.org.uk. The request will be actioned as a priority. 

If use MY data ceases its work, we will ask our Membership if they wish their details to be passed to a different organisation. The default position will be that all records are deleted. 

External event delegates 

When delegates register for an event (online or in-person) the Secretariat asks for their name and email address. To allow the Secretariat to understand the composition of delegates attending events, we may ask for further information, primarily the sector that they work within and which UK nation they are in. 

 

The Secretariat holds a list of delegates who attend use MY data’s external events, for the purpose of providing information about future events. At any point delegates can request that they are deleted from this list by emailing contact@usemydata.org.uk
